Medical secretaries

Steno Diabetes Center employs 15 medical secretaries and one administrative secretary. Their working hours are 07:30 to 16:00 Mondays to Thursdays, and 07:30 to 13:00 on Fridays.

Their duties are divided as follows:
• One chief medical secretary (responsible for the Opus software)
• Two medical secretaries who share the task of appointment planning/administration and appointment guarantee with the chief medical secretary. One of the two also substitutes for the chief medical secretary.
• One medical secretary works fulltime in the diabetes unit in Rigshospitalet and is responsible for coordinating and planning work in cooperation with a coordinating nurse and a head clinical physician.
• One medical secretary’s work covers the outpatient ward.
• The other medical secretaries work on a rotational basis, i.e., they work in the outpatient clinic and in the diabetes unit at RH, as well as standing in for colleagues on the outpatient ward during annual leave and sickness absence. Medical secretaries are attached to the eye clinic and the youth outpatient clinic.

The work tasks
The medical secretaries work on a monthly rotational basis moving between staffing the reception in the outpatient clinic, working in the diabetes unit at Rigshospitalet and working in the secretariat. The work pace in the outpatient clinic is fast and demands the ability to maintain an overview and the skills to work in multidisciplinary teams and independently. The patient-administration system Opus is used, and the medical secretaries make nearly all the appointments. Several medical secretaries are super-users of Opus. The electronic patient medical record is used.

Meetings and other activities
All medical secretaries are attached to a multidisciplinary care team and participate in team meetings every second Thursday. The medical secretary group has a dedicated professional meeting once a month and 1 or 2 dedicated professional theme days a year. Participation is possible in work-related conferences and further education.
